1. Who we are
TimeFlo is operated by Loxent Pty Ltd (ABN 68 674 883 855), an Australian company (“we”, “us”, “our”). This policy explains how we collect, use, and protect your personal information when you use the TimeFlo mobile app and website at timeflo.com.au.
2. Information we collect
Account information
When you create an account we collect your name, email address, and password. If you subscribe to a paid plan we also collect payment details, which are processed by our payment provider and never stored on our servers.
Time entries
Each time entry may include start and end timestamps, the client or project you assign it to, and any notes you add.
Location data
When GPS tracking is enabled, we capture your coordinates at clock-in and clock-out and convert them to a street address. Location is only collected while you are actively clocking in or out — we do not track your location in the background.
Photos
You may optionally attach photos to a time entry. Photos are stored securely and are only visible to you and your team administrator.
Device and usage data
We collect basic analytics such as device type, operating system version, app version, and crash reports to maintain and improve the app.
3. How we use your information
- To provide and operate the TimeFlo service
- To display your time entries, locations, and reports
- To process payments and manage your subscription
- To send transactional emails (e.g. password resets, receipts)
- To diagnose bugs and improve app performance
- To respond to support requests
We do not sell your personal information. We do not use your data for advertising.
4. Who we share your information with
We only share your data with third parties that help us operate the service:
- Cloud hosting— our infrastructure runs on Amazon Web Services (AWS) in the Asia-Pacific (Sydney) region.
- Payment processing — subscription payments are handled by our payment provider.
- Analytics— we use basic analytics tools to understand app usage and fix issues.
If you are part of a team, your team administrator can view your time entries, locations, and reports.
We may also disclose information if required by Australian law or a court order.
5. Data storage and security
Your data is stored on servers located in Australia (AWS Sydney region). We use encryption in transit (TLS) and at rest to protect your information. Access to production systems is restricted to authorised personnel.
6. Data retention
We retain your data for as long as your account is active. If you delete your account, we will remove your personal information within 30 days, except where we are required by law to retain it.
7. Your rights
Under the Australian Privacy Act 1988, you have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your account and data
- Complain to the Office of the Australian Information Commissioner (OAIC) if you believe we have breached your privacy

8. Children's privacy
TimeFlo is not intended for use by anyone under the age of 16. We do not knowingly collect personal information from children.
9. Changes to this policy
We may update this policy from time to time. If we make material changes, we will notify you via the app or by email. The effective date at the top of this page indicates when the policy was last revised.
